Maintenance Administrator

Vent Engineering is seeking an experienced administrator to work in our maintenance team at our offices in Poole. The ideal candidate will have experience in a similar role.

Experience of working within a team as well as independently in a very busy office environment is also required along with the ability to make decisions whilst working under pressure.

Key Responsibilities

  • Working alongside the Group Business Analyst assisting with the day-to-day administration of the Maintenance Department
  • Scheduling appointments for our engineers for current contracts and emergency call outs
  • Preparing Job Packs for engineer visits
  • Arranging Credit Accounts/Payments with the Accounts Department
  • Sales order processing and invoicing from engineers' job sheets
  • Remedial works quote preparation
  • Using Servicelife to record all site history
  • Generating monthly reports
  • Answering phones and responding to internal and external emails
  • Booking Hotels/Van Services and managing ‘Van Stock’ and returns
  • Other duties as and when required

Candidate Requirements

  • Previous experience in a similar role is desirable. Preferably in a busy SME environment
  • Excellent numeracy and ICT skills
  • Strong communication skills and the ability to liaise with colleagues and external contractors
  • Organised, high attention to detail and the ability to work well both independently and as part of a team
