Maintenance Administrator
Vent Engineering is seeking an experienced administrator to work in our maintenance team at our offices in Poole. The ideal candidate will have experience in a similar role.
Experience of working within a team as well as independently in a very busy office environment is also required along with the ability to make decisions whilst working under pressure.
Key Responsibilities
- Working alongside the Group Business Analyst assisting with the day-to-day administration of the Maintenance Department
- Scheduling appointments for our engineers for current contracts and emergency call outs
- Preparing Job Packs for engineer visits
- Arranging Credit Accounts/Payments with the Accounts Department
- Sales order processing and invoicing from engineers' job sheets
- Remedial works quote preparation
- Using Servicelife to record all site history
- Generating monthly reports
- Answering phones and responding to internal and external emails
- Booking Hotels/Van Services and managing ‘Van Stock’ and returns
- Other duties as and when required
Candidate Requirements
- Previous experience in a similar role is desirable. Preferably in a busy SME environment
- Excellent numeracy and ICT skills
- Strong communication skills and the ability to liaise with colleagues and external contractors
- Organised, high attention to detail and the ability to work well both independently and as part of a team
